How we work

From first callto monthly rhythm.

A written scope, one parallel cycle, a second reviewer on every output, and a monthly report you can act on. The method is the same on every desk.

Onboarding

Five steps.
Each one written down.

Each step ends with something written that you can keep.

Method: to be confirmed by the desks

  1. 01

    Conversation

A call to understand your headcount, locations, systems and deadlines.

    You receive
A short note of what we heard, and a list of what we would need to see.
    We need
Headcount, locations, systems, deadlines and what is not working today.
  2. 02

    Scope and service levels

A written scope: what we do, what you keep, turnaround times and checkpoints.

    You receive
A written scope: tasks, cut-off dates, turnaround, reviewers, reports and who approves what.
    We need
Your approvers named, your systems access arranged.
  3. 03

    Parallel run

We run alongside your current process for a cycle and reconcile the results before switching.

    You receive
Our results next to your current process, reconciled line by line, with every difference explained.
    We need
One cycle of data sent to both, and a reviewer for the reconciliation.
  4. 04

    Monthly run

Checklists, maker-checker review and a fixed calendar each month.

    You receive
The month run to the calendar, with a second reviewer on every output.
    We need
Inputs by the cut-off, approvals on time, payments released.
  5. 05

    Review

A monthly report of what was done, what changed and what needs your decision.

    You receive
A monthly report: what was done, what changed, what is open, what needs your decision.
    We need
Half an hour to read it, and decisions on the open items.
The parallel run

Switch only when
the numbers agree.

For one full cycle we run the work next to your current process, from the same inputs. Every line is compared. A difference is either explained, corrected, or taken to you for a decision. The switch date is agreed only when the list is empty.

Parallel run: the same inputs go to your current process and to ours; both results are reconciled; differences are explained or corrected; then you switch. Same inputsONE CYCLE Your processCURRENT Our runMAKER · CHECKER ReconcileLINE BY LINE Differences → explained, corrected or decided
Maker-checker: a maker prepares the output; a checker reviews it and either returns it with notes or passes it; you approve; the output is released. MakerPREPARES CheckerREVIEWS Returned with notes You approveSIGN-OFF Released Every review is recorded againstthe output and the reviewer.
Maker and checker

Two people
on every output.

One person prepares; a second, who did not prepare it, reviews against the inputs, last period and your approvals. Anything returned goes back with notes and is reviewed again. Only then does it reach you, and only you release it.

Security and data handling

Your data,
your rules.

Payroll and accounting data is personal and financial. These principles apply on every desk and are written into each scope. Control statements: to be confirmed

  • 01

    Named, least-privilege access

Every person has their own login to your systems, with only the rights their task needs. Access is removed the day someone leaves the desk. No shared passwords.

  • 02

    Multi-factor authentication

Required wherever your systems support it, and on our own systems that hold client data.

  • 03

    Work in your systems

Where possible the data never leaves your environment. What we must hold is kept on company-managed systems, not personal devices or personal email.

  • 04

    A written processing agreement

We act on your instructions under a data processing agreement. Under India's Digital Personal Data Protection Act, 2023 you are usually the data fiduciary and we act for you.

  • 05

    Retention and deletion

Data is kept for the period the scope and the law require, then deleted or returned, and we confirm it in writing.

  • 06

    Breaches reported

A suspected personal data breach is reported to you without delay so you can meet your own duties to the people affected and to the Data Protection Board.

Service levels

Written down,
then measured.

Each client's service levels are set in the scope. The standard levels below are being confirmed by the desks and are not yet published.

One page
you can act on.

  2. ChangedLaw, rates or your data that changed this month, and what we did about it.
  3. OpenItems waiting on you, on us or on an authority, with their age.
  4. DecideThe questions that need your decision, each with a recommendation.
Questions

About
the method.

How long does onboarding take?

It depends on the service and on how quickly data and access arrive. The written scope sets the dates, and the parallel run takes one full cycle.

What is a parallel run?

For one cycle we run the work alongside your current process and reconcile the results line by line. You switch only when the differences are explained.

What does maker-checker mean?

Every output is prepared by one person (the maker) and reviewed by a second (the checker) before it reaches you. The review is recorded.

Who owns our data?

You do. We process it on your instructions under a written agreement, and return or delete it when the work ends.

Step one is
a conversation.
